Advanced Selling Unit Configuration
Selling units can be highly configurable and, in some cases, complex. This guide explains how each selling unit setting affects Autocalc behaviour, helping you fine-tune pricing to suit your business rules.
New selling units can be created via:
Setup > Item Related > Selling Units > + New Selling Unit
Time Span Settings
All time span settings work in conjunction with the Hire Dates on a sales record.
HirePOS will use:
Hired From / Hired To dates if they exist
Otherwise, Booked From / Booked To dates
Unit Description
The name of the selling unit as seen by users and customers.
For example, a daily rate would typically be named Day.
Timespan
Defines how long a single selling unit represents, based on the selected interval (for example, 24 hours = 1 Day).
Interval
Determines whether the timespan is measured in Hours, Days, or Weeks.
Recommendation: Use Hours wherever possible for greater accuracy.
Base on Calendar Day
When enabled, Autocalc charges based on unique calendar days rather than elapsed time.
Example:
Hire starts on the 5th at 12:00 pm
Returned on the 6th at 9:00 am
With Calendar Day enabled → 2 Days charged
Without it → 21 hours, which may result in 1 Day charged
Minimum
Forces Autocalc to always charge at least this many units, regardless of hire duration.
Maximum
Allows Autocalc to move up to a higher-level selling unit if available.
Example:
If an item has both Day and Week pricing:
Setting a Maximum of 3 Days will cause Autocalc to jump to the Week rate early, even if the hire is less than 7 days.
If no higher unit exists, Autocalc does nothing.
Grace Period
Adds a buffer before an additional unit is charged.
Example:
With a 24-hour Day rate:
No grace period → 2 days charged immediately after 24 hours
6-hour grace period → next day is only charged after 30 hours
This provides customers with reasonable return flexibility.
Exclude Weekends
Causes Autocalc to ignore 48 hours across Saturday and Sunday.
Exclude Sundays
Causes Autocalc to ignore 24 hours for each Sunday.
⚠️ Do not enable both Exclude Weekends and Exclude Sundays, as this would ignore 72 hours.
Not First Week
Used with Exclude Weekends / Sundays.
Prevents weekend exclusions from applying during the first week of hire.
Rounding Settings
These settings allow partial charging of a selling unit using decimals.
Example:
Instead of charging a full week, you may charge 1.14 × Week for a shorter hire period.
Rounding Decimal Places
Controls how many decimal places Autocalc calculates and displays.
Recommendation: Avoid more than 2 decimal places to reduce rounding issues when exporting to accounting software such as Xero.
Round Up / Round Down
Forces Autocalc to round up or down to the nearest configured interval.
Example:
Round to nearest 0.5 + Round Up
Result will always round up (never down)
Round to Nearest .5
Rounds results to the nearest 0.5 increment.
Round to Nearest .25
Rounds results to the nearest 0.25 increment.
Use Even Rounding
Designed for 5-day week units.
Each day is treated as 0.2 of a week, ensuring even distribution.
Allow Less Than One
Allows Autocalc to return values below 1 unit.
By default, selling units have a minimum of 1 Qty / Unit unless this is enabled.
Meter Unit Settings
If the selling unit is meter-based, enable Meter Unit? on this tab.
Meter Minimum
Always charges at least this many units, regardless of meter usage.
Meter Excess
Only begins charging once meter usage exceeds this value.
Meter Excess per Day
Multiplies the Meter Excess value by the number of hire days.
Example:
Meter Excess = 100
Hire duration = 7 days
Autocalc will only charge once usage exceeds 700.

Damage Charge Unit
Designates this selling unit for damage charges.

Use EoM Rollover ‘Week’ Blocks
Forces End-of-Month rollover to use whole weeks only (for example, 4 Weeks instead of 4.4 Weeks).
Item Sales Unit
Triggers the Selling an Item screen when this unit is used.
