The Equipment Information & Service History report is an essential tool for managing and understanding the details of specific equipment within your HirePOS database. This report provides a comprehensive overview of key information and service history, enabling users to make informed decisions regarding equipment usage, maintenance, and compliance.
Overview of the Report
The report presents vital general details about the equipment, including:
Make
Model
Serial Number
Last & Next Service (Meter & Date)
This information offers a clear snapshot of the item’s background and usage, which is crucial for effective asset management.
Service History
In addition to general information, the report includes a detailed service history for the past 12 months. This section lists all "completed" maintenance, inspections, and repairs recorded during that period, allowing users to:
Review recent work completed
Verify compliance with scheduled servicing
Identify any recurring issues or trends that may require attention
This comprehensive service history is particularly beneficial when assessing an item prior to hire, sale, or audit.
Accessing the Report
To preview the Equipment Information & Service History for a specific item, navigate to Reports > Maintenance, and select the "Equipment Information & Service History" option at the top. The report will display your business details at the top, along with general information on the equipment sourced from Setup > Items, including Make, Model, Year, Serial Number, and the main image.
This report is an invaluable resource for ensuring that your equipment is well-maintained and compliant with service standards, ultimately contributing to the efficiency and reliability of your operations.
Viewing the Report via Delivery Docket (QR Codes)
Customers can access the Equipment Information & Service History report directly from the Delivery Docket (QR Codes) document. This feature is available to users with the Maintenance Module enabled.
From the Invoice screen, click Preview, then in the report preview window select the Templates dropdown at the top-right and switch to “Delivery Docket (QR Codes)”. When you preview the docket, QR codes will be displayed for all Hire items (Sales and Non-stock items are excluded).
Each QR code provides quick access to equipment details. You can either click the link shown next to the QR code from the preview, or scan the QR code using a mobile device. This will open the link.hirepos site, displaying the Equipment Information & Service History report for that specific piece of equipment.
⚠️ Important: If you email the QR Codes version of the Delivery Docket to a customer, the corresponding Equipment Information & Service History report becomes publicly accessible to the hirer via the shared links.
