Delivery Drivers and the Delivery Pickup Schedule (Overview)

Using the Delivery Driver App

This refers to a delivery driver downloading the HirePOS app from the Apple iOS App Store, or navigating to mobile.hirepos.com and logging in using any portable, internet-connected device.

What the Driver Can See

When a driver logs into the HirePOS delivery driver app, the screen will initially show only jobs scheduled for today.

Jobs are listed in chronological order (earliest to latest) within the selected date range. By default, only today’s jobs are shown, which helps ensure the driver doesn’t accidentally action jobs meant for yesterday or tomorrow.

If the driver needs to look ahead or review missed jobs, they can adjust the filters:

  • Date Range – Change from ‘Today’ to a custom range (e.g. entire week)

  • Show Missed Jobs (Last 7 Days) – Include jobs that were assigned but not completed

  • Hide Completed Jobs – Remove finished jobs from view

  • Hide TBA Jobs – Hide unscheduled work

  • Show First Item – Display a brief label for quick job identification (e.g. item or unit type)

Each job on screen shows:

  • Job type: Delivery, Pickup, or Service

  • Scheduled date and time

  • Optional item label if “Show First Item” is enabled

What the Driver Can Do

For each job, the driver can tap to:

View Job Details

  • Address (with integrated Google Maps link)

  • Contact person and phone number

  • Items involved (e.g. hired equipment, units, packages)

  • Internal notes added by the admin team (e.g. access instructions, special requests)

Launch Directions

  • Opens Google Maps with the job address pre-filled — no need to retype.

Add Notes

  • Add internal-use notes to record:

    • Delivery conditions

    • Access issues

    • Pickup observations (e.g. damaged item, extra cleaning required, incomplete pack-down)

    • Tip or disposal notes, if relevant

Notes are saved against the job and visible to the admin team. They are not shown to the customer unless explicitly added to external communications.

Take Photos

  • Use the phone’s camera to capture:

    • Proof of delivery or placement

    • Item condition at pickup

    • Site issues or obstacles

    • Tip receipts or load confirmations

Photos are stored securely with the job for later reference.

Collect Signatures

  • Customer or site contact can sign on the driver’s device.

  • Signature is timestamped and saved with the job.

Complete the Job

Depending on system settings, the driver will either:

  1. Use a checklist to confirm each item has been handled, or

  2. Tap a Complete button to finish the job.

If surcharges or additional items need to be added (e.g. extra hours, relocation, damage), these can be recorded during the check-off process.

How Jobs Appear for the Driver

Jobs only appear in the driver’s app if they meet both criteria:

  1. They are created in HirePOS as a booking, hire, or service job

  2. They are assigned to that specific driver (via the Delivery Via field)

If a job is not assigned, it will not appear in the driver’s view.

Admins can assign jobs using:

  • The Delivery & Pickup Schedule (Allocation view)

  • The Driver Group view for visual assignment

  • Directly on the booking or hire screen using the Delivery Via dropdown

Admins can also drag-and-drop jobs using the Driver Calendar view to control the order of the run sheet.

Missed or Overdue Jobs

Jobs not marked as completed by their scheduled date will remain in the system:

  • The Reminders screen in HirePOS will show these as overdue

  • Drivers can choose whether or not to display these in their app using the “Show Missed Jobs” setting

Some businesses choose to reassign missed jobs manually the next day, while others expect the same driver to complete them. The app can support either approach.
