Vehicle Pre-Start Checks for Delivery Drivers

What this feature does

Vehicle pre-start checks require delivery drivers to complete a daily checklist before using the Delivery/Pickup Schedule in HirePOS.

This is commonly used for checks such as vehicle condition, tyres, fuel, odometer readings, damage notes, and safety equipment.

Requirements

Before a driver can complete a pre-start check:

  1. A Form Template must be created for the checklist.

  2. The checklist must be selected in Preferences.

  3. The driver must have a HirePOS user account.

  4. The driver must also be set up as a Driver in HirePOS.

  5. The Driver record email address must match the user account email address.

Supported user types include:

  • Admin

  • General User

  • Delivery/Pickup Only

Create the pre-start checklist form

  1. Go to Setup > Preferences > Form Templates.

  2. Create a new form template.

  3. Name the template, for example Vehicle Pre-Start.

  4. Add the required checklist questions.

  5. Use the appropriate field types, such as text, Yes/No, number, or notes.

  6. Save the form template.

Select the checklist in Preferences

  1. Go to Setup > Preferences > Delivery, Pickup & Onsite Services.

  2. Find the Pre-Start Checklist dropdown.

  3. Select the form template created earlier.

  4. Click Save Changes.

Set up the driver

  1. Go to Setup > Suppliers / Drivers.

  2. Create or edit the relevant Driver record.

  3. Enter the same email address used by the driver’s HirePOS user account.

  4. Save the Driver record.

The matching email address allows HirePOS to identify which Driver record belongs to the logged-in user.

Complete the pre-start check

When the driver logs in:

  1. Go to Sales & Hire > Delivery/Pickup Schedule.

  2. A banner appears at the top of the screen saying that a pre-start vehicle check is required.

  3. Click the button to begin the pre-start check.

  4. Complete the checklist.

  5. Save the checklist.

Once saved, HirePOS confirms that the vehicle pre-start check has been completed. The driver can then view or update the check if needed.

Daily reset

The pre-start check resets each day.

This means the driver will be prompted to complete a new vehicle pre-start check the next day they access the Delivery/Pickup Schedule.

Troubleshooting

The pre-start banner does not appear

Check that:

  • A form template has been created.

  • The form template is selected in Setup > Preferences > Delivery, Pickup & Onsite Services.

  • The user is logged in with the correct account.

The driver is not recognised

Check that:

  • The driver exists in Setup > Suppliers / Drivers.

  • The Driver record has the same email address as the HirePOS user account.

  • There are no spelling mistakes or extra spaces in the email address.

The wrong checklist appears

Go to Setup > Preferences > Delivery, Pickup & Onsite Services and confirm the correct form template is selected in the Pre-Start Checklist dropdown.

The checklist needs different questions

Edit the form template under Setup > Preferences > Form Templates, then save the changes.
