This document outlines the considerations for managing multiple subscriptions and email aliases within the HirePOS system. It provides guidance on how to effectively utilise different app domains and email configurations to streamline operations.

Managing Multiple Subscriptions

When it comes to managing multiple subscriptions, there are several factors to consider, each with its own advantages and disadvantages. The simplest and most efficient way to operate two subscriptions simultaneously is to log in to one subscription via app.hirepos.com and the other via app2.hirepos.com.

These two app domains do not conflict with each other, allowing you to remain logged into each subscription without any issues.

Email Configuration

There is often confusion regarding the need for multiple email addresses, particularly concerning the requirement for separate inboxes. However, this is not necessary. What you actually need for additional emails are simple "aliases." All aliases will direct to a single email inbox.

For instance, the email address john@anydayhire.com can serve as the primary inbox, while john2@anydayhire.com and john3@anydayhire.com function as aliases. This setup allows for multiple user login requirements without incurring extra email service related costs, additional mailboxes, or complications.

Future Considerations: Branches

As you evaluate your day-to-day operations and the extent of information shared across different businesses, establishing "branches" may be a beneficial solution. In this model, the entire enterprise operates under a single database and subscription, requiring only one login for access. Each business can be treated as a branch within the same database.

This approach is typically suited for a single company with multiple branches; however, it is also feasible to treat each branch as a separate business with its own Australian Business Number (ABN) or GST Number for New Zealand. Users, staff, and assets can be shared across the entire enterprise, although user access can be restricted to specific branches. All branches will share the same invoice number sequence, which may lead to complications, but this structure can be advantageous for certain organisations.

Upcoming Features

In a future update, we will introduce a "Super Admin" feature. This will allow a special admin user to switch between different businesses or subscriptions, although they will only be able to work on one at a time, all while using a single login.
