The Crew Management module within the HR menu is designed to streamline the scheduling of staff jobs, enhancing operational efficiency. This module allows for the association of job records with bookings or invoices, or the creation of stand-alone entries. By allocating projected staff hours to specific jobs, organizations can effectively manage their workforce. In contrast, Timesheets capture actual clock-in and clock-out times, which are subsequently integrated into the Wagebook for payroll processing. This document outlines the functionalities of the Crew Management module and provides a step-by-step guide for creating crew jobs and managing delivery and pickup schedules.

Crew Management Overview

The Crew Management module facilitates the scheduling of staff jobs, enabling users to link Timesheets to specific jobs on an entry-by-entry basis. This feature allows for accurate billing to customers based on the work performed.

Creating a Crew Job Against a Sales Record

To create a crew job linked to a sales record, follow these steps:

  1. Navigate to the Sales/Hire Record screen.

  2. Click on the Extras button located at the top right corner.

  3. Select the Related Tasks option.

In this section, you can view existing jobs associated with the sales record and schedule new jobs by providing job descriptions, start date/time, and estimated hours.

After entering the necessary information, click on Save Changes to finalise the entry. This entry can be further edited or viewed in the HR Calendar screen at any time.

Creating Standalone Jobs

Standalone jobs can also be created via the HR Calendar screen. To do this, click on New Job and follow the prompts to set up the job as needed.

Crew/Staff and Delivery/Pickup Schedule

The HR module allows for the assignment of drivers or staff for delivery, pickup, or service tasks. By creating specific shifts for delivery and pickup schedules, you can associate these shifts with relevant invoices to allocate drivers accordingly.

Steps to Create Delivery and Pickup Shifts

To create shifts for delivery and pickup, follow these steps:

  1. Go to HR > Shifts and create a new Shift, ensuring that the Delivery Schedule checkbox is ticked.

  2. Create another shift, making sure the Pickup Schedule checkbox is ticked.

Next, open an Invoice that requires delivery or pickup services.

  1. At the top-right of the Invoice screen, navigate to Extras > Related Tasks.

  2. Enter a new job in the grid provided, assigning the Delivery or Pickup shift you created in the previous steps.

Once completed, crew/staff will appear at the top of the preview popups against jobs in the Sales/Hire > Delivery/Pickup Schedule screen.
