To get started with Cartrack, you can request a demo directly with the provider to familiarise yourself with its features and capabilities.

Setting Up Cartrack

  1. Log into your Cartrack asset management portal.

  2. In HirePOS, navigate to Setup > Preferences > Accounting Integration & Other API's, then select the Cartrack (GPS Tracking) option.

  3. Copy and paste the API Username and API Password from Cartrack into the relevant fields in HirePOS.

  4. Save the changes to establish the connection between HirePOS and Cartrack.

Setting Up Item GPS References

  1. Log into your Cartrack asset management portal.

  2. Copy the Vehicle Reference from Cartrack and paste it into the corresponding item in HirePOS. This can be either the "Rego" or the "Name", however the Name is preferred as it is less likely to change.

  3. In HirePOS, go to Setup > Items and locate the relevant equipment.

  4. Within the Item details screen, navigate to the Custom Fields tab.

  5. Paste the GPS Reference from Cartrack into the GPS Reference field.
    Note that if "Rego" is used the the vehicle will be looked up based on "Rego" primarily or otherwise we'll try to match by "Name" if the Rego cannot be found.

  6. Save the changes to link the item to the Cartrack reference.

Engine Hours or Distance (Kms)

You can retrieve meter readings from either the Engine Hours or the Distance (Kms) metrics of the GPS device.

  1. In HirePOS, go to Setup > Items and locate the relevant equipment.

  2. Within the Item details screen, navigate to the Custom Fields tab.

  3. Set the Engine Hours or Distance (Kms) setting as desired.

  4. Click Save Changes.

Get Latest Meter Reading

  1. Go to Maintenance > Meter Readings in HirePOS.

  2. Search for the item for which you want to retrieve the meter reading.

  3. Click on the GPS Meter Reading button and wait for the reading to be fetched.

  4. If there is no matching GPS Reference, an error message will be displayed.

  5. The New Meter Reading prompt will automatically show the latest reading.

  6. Click Save to store the new meter reading and view the updated history.
