Onsite Service Schedule - Copy driver to next invoice
This document outlines the process of automating the assignment of drivers for onsite services within the HirePOS system. By following these steps, users can streamline their workflow by copying the driver from the last job to subsequent jobs, thereby reducing manual input and enhancing efficiency.
Overview of Driver Assignment Automation
Rather than manually assigning drivers for each new onsite service created, you can optionally choose to copy the driver from the last job over to the next. This feature allows you to set the driver on the first job, and that driver will then be subsequently copied to any future jobs that are auto-created.
Assigning the Driver Initially
To begin the process of automating driver assignment, follow these steps:
In the Invoice screen, click the Item Actions link located just above the invoice line items grid, then choose Onsite Service Schedule.
Select the Schedule Date of the first onsite service you would like to perform for the contract.
Select the Driver Name for this first job.
Click the Custom Recurrence button to set a custom recurring schedule, e.g., every Monday.
Activating the Copy Driver Setting
As a one-time action, you will need to enable the global setting to automatically copy the driver of the last job on each invoice to the next job based on the custom recurrence. Follow these steps:
From the app main menu at the top, navigate to Maintenance > Onsite Service Schedule.
Click the Option Cog icon located to the right of the Filters button to expand and show the options.
Ensure the Automatic setting is switched ON.
Also, switch the Copy driver to next invoice setting ON.
Conclusion
Once these settings are activated, any auto-created onsite service job will automatically assign the driver based on the driver that was assigned to the very last job for that invoice. Please note that if no driver has been selected for the last job, then no driver will be auto-assigned for the next job.
