Introduction to Inspection Templates
Inspection Templates are a list of questions or points that need to be checked during an inspection. They can be general (suitable for all pre-hire inspections) or specific to particular items. Only Administrators can add or edit inspection templates.
Creating an Inspection Template
Go to Maintenance > Inspection Checklists from the main menu.
Click on the Inspection Templates button.
Click New Template to create a new Maintenance Inspection Template.
Enter a Template Name.
Enter the checklist items that apply to this template. Important Note: Avoid changing the template after it has been used in inspections, as this will affect all inspections it has been applied to.
You can enable the Comment checkbox to allow technicians to leave text comments in addition to the standard Pass/Fail/NA response.
Click Save Changes to save the template.
Assigning Templates and Intervals to Specific Items
Scheduled Inspections are used for routine inspections required at regular intervals, like every 90 or 365 days. To assign default Inspection Templates to scheduled inspections:
Go to Setup > Items, search for the item, and edit it.
Click on the Maintenance tab.
Under Scheduled Inspections, set the Service Interval (Days) for how often the inspection should occur.
Select the relevant Inspection Checklist templates.
Save the changes.
Example Workflow: Scaffolding Inspections
To create scheduled scaffolding inspections:
Create a new item (e.g., 28 Day Inspection) by going to Setup > Items and clicking +New Item.
Ensure the item type has the Component option checked (so it won't show on the contract/invoice PDF).
Set the Service Interval (Days) (e.g., 28 days).
Add the 28 Day Inspection item to a contract/invoice.
Staff can add notes, photos, and mark it as completed once the inspection is done.
