Working with Multiple Xero Organisations with HirePOS
Overview
This guide helps resolve the following issues when using the Xero Exporter in HirePOS:
You are presented with multiple Xero organisations to select from during export, but you only want to export to one.
Another Xero organisation is already selected, and the button displays "Continue with 2 organisations."
Continuing with more than one account connected can lead to significant issues, and must be avoided
You cannot deselect an organisation when using the Xero Exporter.
You are having difficulty disconnecting the correct Xero organisation from HirePOS.
Summary
To simplify and ensure accurate exports, you will:
Create a dedicated Xero user account for each organisation you want to export to from HirePOS.
Each Xero user account will be allowed to access only one Xero organisation.
Log in with the specific Xero user account before performing an export.
For added convenience, perform exports using an alternative web browser or a private/incognito browsing tab to prevent login conflicts.
When logged into the correct Xero account, you will not be prompted to select an organisation during export.
Scenario
If you start with:
2 HirePOS databases
2 Xero organisations
1 Xero user account (e.g.,
accounts@company.com
)
You will end up with up:
2 HirePOS databases
2 Xero organisations
3 Xero user accounts (
accounts@company.com
,hirepos-xero-org1@company.com
, andhirepos-xero-org2@company.com
)
Requirements
The ability to create new email addresses (or aliases) for each new Xero user account.
Advisor-level access or Add/Edit User permissions in Xero for each organisation.
Step 1: Create a User Account in Xero for Each Organisation
For each Xero organisation you need to export to:
Log into Xero with an Advisor or Standard Role (with user add/edit permissions).
Switch to the relevant organisation.
Navigate to Organisation Menu > Settings > Users.
Click Invite a user.
Set the First and Last Name to something like
HirePOS - {BusinessName}
(e.g.,HirePOS - Org1
).Use a new, specific email address (e.g.,
hirepos-xero-org1@company.com
).Ideally, this email is an alias pointing to the accounts/finance manager's inbox. Learn more about aliases here.
Enable only the Business and accounting permission.
Click Send Invite.
Follow the instructions in the email to set up the new user account.
Repeat this process for each Xero organisation, ensuring a unique email address is used for each account.
Step 2: Connect to the Xero Exporter
Log into HirePOS
Use an alternative browser (e.g., Edge, Firefox) or a private/incognito tab to avoid conflicts with your default Xero account.
Launch the Xero Exporter from HirePOS as usual
Log in to Xero with the newly created user account for the organisation you wish to export to.
Since the new user account is restricted to a single organisation, you will not be prompted to select one.
Continue to allow access and conduct the export as normal.
By setting up dedicated Xero user accounts, you ensure a seamless and error-free export process for each organisation.
