Serial Tracking for Sales
This document outlines the process of tracking serial numbers when selling items through the Invoice screen in the HirePOS system. This feature is designed to enhance after-sales service and facilitate warranty repairs by ensuring that serial numbers are accurately recorded.
Overview of Serial Number Tracking
When selling items via the Invoice screen, users can now track serial numbers. If an item is configured with the Serial Required option, staff will be prompted to enter the serial numbers upon saving an invoice.
How to Enable Serial Tracking
To enable serial tracking for an item, follow these steps:
Navigate to Setup > Items and locate the item that requires serial tracking.
Expand the Configuration section and check the Serial Required box. Please note that this option is only available for sales items.
Ensure that the invoice line includes a selling unit (e.g., "Each"). Without a selling unit, the system will not prompt for serial numbers.
Entering Serial Numbers
When saving an invoice that includes items configured for serial tracking, you will be redirected to a page titled Sold Items - Additional Information Required. Here, you should enter the serial numbers for each relevant item and click Save Changes to return to the invoice screen.
Editing or Removing Serial Numbers
If a serial number was entered incorrectly, you can correct it by following these steps:
Click Item Actions above the invoice line items grid, then select Serial Tracking.
On the corresponding line item, click Show, then remove the serial number by clicking the "X" button. Please note that you cannot edit the serial number directly.
After saving the invoice, you will be prompted to re-enter the correct serial numbers.
Searching for Serial Numbers
To locate an invoice by serial number, follow these steps:
Go to Sales/Hire > Find Sales/Hire by Item.
Expand the Filters section and enter the serial number in the Serial Tracking field.
If no results are found, consider adjusting the Date From and Date To filters or removing them entirely. You can also refine your search using other filters, such as Customer.
