Welcome to HirePOS User Guide

Welcome to the HirePOS User Guide, where you will find detailed instructions on how to navigate and utilize the features of the HirePOS application. Whether you are setting up your business details, managing item categories, or creating bookings and invoices, this guide will walk you through each step to ensure a seamless experience.

Logging In

To access HirePOS, visit our website at www.hirepos.com and click on the Login link located at the top-right corner. Alternatively, you can directly go to app.hirepos.com. Please note that HirePOS currently supports Microsoft Edge, Google Chrome, and Safari (on iOS), so make sure to use one of these browsers and keep them up to date.

Navigation

Upon logging into HirePOS, you will be directed to the Home screen. The app features three main navigation tools:

  • Top "Menu bar" (including dropdown menus)

  • Home screen "Tiles"

  • "Menu icons"

Setup Menu

The Setup menu is accessible from the top menu bar. If you do not have access to the Setup menu, click on the "I don't have access to the Setup menu" button. To begin, set up your basic business details, item categories, and create items to familiarize yourself with the booking process. You can import items in bulk later via CSV import.

Business Details

Under Setup > Business Details, enter all relevant information about your business. Ensure the correct Time Zone is selected to display date/times in your local time zone. Click the Save Changes button to save your details.

Item Categories

Prior to adding new items, create Item Categories to classify the items you hire or sell. Navigate to Setup > Item Related and select Item Categories to add new categories.

Items

To add new items, go to Setup > Items and click on the + New Item button. Enter item details such as Description and Code to uniquely identify each item. Specify the Item Type as Hire and assign it to a relevant Item Category.

Rates/Prices

Set default rates/prices for items using Selling Units such as Day and Week. HirePOS auto-calculates charges based on the duration of hire. Select the appropriate units and prices under the Rates/Prices tab and save your changes.

Customer Overview

When creating a new booking, access the Customer Overview screen to view customer details, current bookings, and outstanding credits. Click on Sales/Hire and then Customer Overview from the top menu bar.

Creating Bookings

For new bookings, click on + New Booking. Bookings and Invoices are confirmed and block item availability. Bookings are tentative, while Invoices are final. Quotes provide price indications without allocating stock.

Booking Details

Enter Booked From/To dates as scheduled hire dates. Populate Hired From date when items are collected and Hired To date when all items are returned. Add items to the booking by selecting them from the list.

Preview and Finalise

Preview the booking by clicking the Preview button. Ensure all details are accurate before finalizing the booking. HirePOS simplifies the process by automatically calculating units and quantities for you.
