This document provides guidance on resolving login issues and managing passwords in HirePOS.

Common Login Issues

If you encounter login failure notifications when trying to access HirePOS, several reasons may be causing the problem:

  • Attempting to sign in with a HirePOS email/password after using a third-party Single Sign-On account like Xero, Microsoft, or Google.

  • Entering an incorrect HirePOS email/password. If you can't recall your password, use the 'Forgot Password' link on the login screen.

  • Your user account has been deactivated by an Admin user within your organization.

  • Your HirePOS account has been closed and is no longer active.

Changing Your Password

To change your user login password in HirePOS, follow these steps:

  1. Click your initials at the top right corner of the HirePOS v5 web app to open the User Profile popup.

  2. Click the 'Change Password' button to access the Manage Account screen.

  3. Enter your current password, then set a new password. Passwords should typically contain at least 6 characters, including letters, numbers, and special characters like !@#$%.

  4. Confirm the new password by entering it again.

  5. Click 'Change Password' to finalize the password update.

If you forget your password, use the 'Forgot Password' link on the HirePOS v5 login screen. Note that passwords are encrypted and cannot be retrieved.

Password Recommendations

For enhanced security, consider the following password recommendations:

  • Use a minimum of 12 characters.

  • Include at least 3 of these 4 in your password: 1 uppercase letter, 1 lowercase letter, 1 number, or 1 special symbol.

  • Prefer a passphrase over a single password for better security.

  • Ensure your password is unique to your HirePOS account and avoid using personal information.

  • Never share your password via text or email.

  • Consider using Microsoft or Google sign-in methods for added convenience.

Microsoft Single Sign-On

HirePOS supports signing in with your Microsoft account, offering features like passwordless sign-in and Multi-Factor Authentication (MFA).

To connect an existing HirePOS account with your Microsoft account:

  1. Ensure your Microsoft account has the same email address as your HirePOS user account.

  2. Follow the steps provided in the notification email sent to your primary business email.

  3. Confirm the user and allow access in the HirePOS settings.

  4. Once connected, you can log in using your Microsoft account, and the Single Sign-On method will be enforced.

If your Microsoft account is not linked to HirePOS, you will encounter a 'Login Failed' page. Sign out of your Microsoft account to switch accounts if needed.

Inactive HirePOS Account

If your HirePOS account is inactive and you attempt to sign in with Microsoft, you will be notified of the inactive status. Sign out of Microsoft to retry logging in with an active account.
