In the waste removal industry, efficient management of item setup and invoicing processes is essential for seamless operations. This document provides comprehensive guidance on setting up items, configuring preferences, managing bookings and invoices, scheduling onsite services, and handling end-of-month rollovers for waste removal businesses.

Item Setup

When creating a new waste removal booking or invoice, three key items need to be added:

Hire Asset

A hire asset, such as a skip bin or portable toilet, must be added for tracking purposes, regardless of whether hire fees are charged.

Delivery Fee

The delivery fee covers the initial delivery of the hire asset and should be included in the booking or invoice.

Service Fee

The service fee is charged for services like bin swaps or toilet cleans. It should be set as a non-stock item with the EOM RollOver option checked for automated tracking.

Preference Settings

To streamline fee entry and service charging, configure one-time settings by navigating to Setup > Preferences from the main menu. Select the items used for charging specific services such as Toilet Clean or Bin Swap.

Booking/Invoice Management

Key areas to focus on in the Booking/Invoice screen include:

  • Branch: Track jobs and assets across multiple depots.

  • Invoice Category: Categorize jobs for filtering and reporting.

  • Delivery/Pickup Details > Zone: Automatically calculate fees based on the local council area.

  • Mode: Create new invoices for cash customers and bookings for account customers.

  • Booked From/To: Schedule asset delivery and return dates.

  • Hire Asset/Delivery Fee/Service Fee: Ensure correct quantities and pricing.

Onsite Service Schedule

Manage bin swaps, toilet cleans, and other services through the Onsite Service Schedule. Set up custom recurrences or manually create service records to track completed services against invoices.

EOM Rollover

At the end of each month, run the EOM Rollover process to close off current invoices and create new ones for the next month. This process is essential for managing long-term hires and ensuring accurate invoicing for account customers.

Email/Review Invoices

Batch email invoices via Sales/Hire > Email/Review Invoices. Review completed services, approve invoices, and send them out efficiently. Use filters to manage cash customers, on-hire invoices, and sent invoices effectively.

By following these setup and invoicing processes, waste removal businesses can streamline operations, accurately track assets and services, and ensure timely invoicing for services rendered.

Tip Fees

Tip fees can be recorded by drivers via the Delivery/Pickup Schedule.

To enable this setting, go to Setup > Preferences > Onsite Services, and activate the setting for "Show Fees button in schedule," then click Save Changes.

In Sales/Hire > Delivery/Pickup Schedule, a "Fees" button will now appear for all Onsite Services. Drivers can click this button to record tip fees and weights.
