Check Availability when Adding Items to a Booking

In HirePOS, you can easily check the availability of items before adding them to a booking or invoice. This feature helps you ensure that the items you are adding are in stock and not already booked out. Here's a step-by-step guide on how to efficiently check item availability:

Checking Availability Before Adding an Item

When adding an item to a Booking/Invoice via the "Code" column dropdown, you can use the Check Availability link to verify the available quantities before adding the item. Make sure to have the Booked From and Booked To dates entered as they are required for the availability check.

To narrow down the item dropdown list, enter the first few letters of the description or code. Click on the Check Availability link in the dropdown, and the app will run the availability check on the first 25 items listed. It will display the Qty Available and highlight anything that is completely booked out in red.

This feature serves as a proactive measure to prevent adding items that are already booked. However, the app will conduct a comprehensive check after saving the Booking/Invoice and provide relevant warnings if needed.

Checking Sales Item Availability

You can also check the availability of Sales items when adding them to a booking. Follow the same process as you would for Hire items. Click the Check Availability button when adding a new item to your Booking/Invoice, and HirePOS will show you the currently in-stock value for each Sale item.

Increasing the Number of Items Checked

By default, the availability check only examines the first 25 items due to its resource-intensive nature. To expand this limit, follow these steps:

  1. From the main menu strip at the top, navigate to Sales > Availability.

  2. Click on the Options cog icon next to the Filters button.

  3. Adjust the paging size in the Paging Size dropdown.

  4. Click the Save Changes button to apply the new setting.

Keep in mind that this setting not only affects the paging in the Availability screen but also impacts the time taken to return results. The larger the number set, the longer it will take to display the results.

By following these guidelines, you can efficiently manage item availability checks in HirePOS, ensuring smooth operations and accurate bookings.
