In a retail setting, obtaining customer signatures over the counter is a common practice for transactions. HirePOS offers a convenient solution by allowing you to use a tablet or touch screen as a signature pad. Any tablet or touch screen device that has a web browser can be used as a signature pad.
This guide will walk you through the process of setting up and using over the counter signatures with HirePOS.

Setting Up Over the Counter Signatures

To begin using over the counter signatures with HirePOS, follow these steps:

  1. Create a new user specifically for the signature pad tablet by referring to the Invite New Users guide: https://docs.hirepos.com/en/articles/2322881

  2. Access the main menu strip at the top, navigate to Setup > Preferences > Users.

  3. Select the signature pad user you created and edit their user roles.

  4. Check the Signature Pad Only checkbox at the top of the user settings.

  5. Scroll down and save your changes.

Activating Over the Counter Signatures

Before initiating a signature request from the counter desktop PC, you need to enable over the counter signatures in HirePOS:

  1. Access the main menu strip at the top, go to Sales > Sales (or click the Sales button on the main screen).

  2. Click the cog button below the New Customer button to open the settings popup.

  3. Turn on the slider setting under Use separate 'Signature Pad' for over the counter.

  4. Close the settings popup.

Obtaining a Signature Over the Counter

Once the setup is complete, follow these steps to get a signature over the counter using HirePOS:

  1. Create a new Sales Record (Quote/Booking/Invoice) as usual.

  2. Click the Sign or Get Signature button at the bottom of the Invoice screen.

  3. On the Signature Pad (Awaiting) screen, have your customer tap the Refresh button and select the relevant Invoice number.

  4. After the customer signs, proceed with Payment, Preview, Email, or Edit as needed.

After the customer signs, the Sales and Find Sales screens will display "Signed" in green font in the Sent column, indicating a successful signature capture.
