Email Statements

Edited

This guide will walk you through the process of emailing customer statements in bulk and how to send emails to multiple recipients using HirePOS.

Email Statements

The Email Statements screen in HirePOS can be accessed via Sales/Hire > Email Statements. This feature allows you to email customer statements in bulk. Before you begin, it is recommended to set up a new email template called Statement. This template will be automatically selected when emailing out statements.

Here are the steps to email statements:

  1. Use the Filters button to select any criteria as needed.

  2. Click the Refresh button after selecting any Filters or changing the Statement Date (As At).

  3. Click the first checkbox in the customer list to select all customers with outstanding balances, or manually select the customers you need.

  4. Click the Email Statements button at the top-left to send off the statements.

Multiple Recipients

In HirePOS, you can send an email to multiple recipients when necessary. To add additional email addresses to the TO and CC fields in any email screen, simply separate the addresses with a comma (,).

For example, if you want to send an email to john@anydayhire.com.au and bill@anydayhire.com.au, you would enter john@anydayhire.com.au, bill@anydayhire.com.au in the To field (this also applies to the CC field).

BCC

Currently, HirePOS does not support specifying more than one recipient for the BCC field when using hirepos-messaging@hirepos.com. If you need to receive BCCs at multiple inboxes within your organization, we recommend setting up inbox rules or mailbox configurations to automatically forward emails to the desired addresses.

You can also use the 'comma' method when populating the email address of a customer or supplier if needed for your specific customer.
