In the process of managing hire items in HirePOS, returning items is a crucial step to ensure accurate inventory tracking and billing. This guide provides detailed instructions on how to efficiently handle returns, including partial returns and serial tracking items.

Returning Hire Items

There are two methods for returning items.

  • Enter the return date/times ("Hired To") directly on the Invoice screen.

  • Use the Sales/Hire > Returns screen (recommended) as described below.

To return hire items on an invoice, follow these steps:

  1. Go to Sales/Hire > Returns via the app menu at the top.
    Alternatively you can click the Returns button on the Reminders List screen.

  2. The Returns screen lists all Invoices and Items that are currently "On Hire".
    Search by Code, Description, Invoice or Customer as needed.

  3. Use the Find box to look up an item, invoice, or customer to find the relevant invoice with items to be returned.

  4. Mark the items to be returned and adjust the Return Date if needed.

  5. Click Mark All or check off particular items as needed.

  6. Enter quantities for partial returns and damaged items, if applicable.

  7. For "bulk" hire items, you may want to re-charge out the items still on hire.
    Click the Re-charge items not returned checkbox if applicable.

  8. Click the Return Items button to complete the return process, and you will be redirected to the Invoice screen, with all the relevant "Hired To" dates completed.

Viewing Hire Status of Partially Hired/Returned Items

To view the hire status of individual items on the invoice page, click the 'Show Line Details' link to see hire dates, partially returned quantities, and items still on hire. Adjustments can be made manually here.

Serial Tracking Items

For bulk items tracked by serial numbers, follow these steps for returning:

  1. In Setup > Items, set up bulk items with a Quantity For Hire value and configure serial numbers via the Serial Tracking button.

  2. Access the Returns screen by clicking the Returns button or navigating to Sales/Hire > Returns.

  3. Select the "Serial Tracking" Search By option to scan or enter serial tracking numbers.

  4. Review the details of the invoice associated with the scanned serial number and mark items as returned.

  5. Finalise the return by clicking Return Items or choose to 'Re-charge items not returned' to create a new invoice line for remaining items on hire.

By following these steps, you can efficiently manage returns of hire items in HirePOS, ensuring accurate inventory control and billing processes.
