Effective inventory management is essential for the smooth operation of any business. In HirePOS, the ability to check availability is a key feature that allows users to monitor both singular and bulk items, preventing overbookings and ensuring efficient operations. This document serves as a comprehensive guide on how to check availability, interpret results, and customize settings within the Availability section of HirePOS.

Checking Availability for Bulk Items

When checking availability for bulk items, the system displays a series of numbers in the grid, indicating the quantity available or booked. To ensure accuracy, it is recommended to switch to Hour mode at the top of the screen, as bulk items are represented with a number for the entire day.

Checking Availability for Singular Items

Singular items are represented as bars that show the records booking them. In cases of overlap, the highest priority record will be displayed in full, while others will be overlapped. Users can adjust the priority settings in the Bar Z-Order section to manage how these records are displayed.

Checking Availability for a Specific Item

To check the availability of a specific item over a designated time period, narrow down the filters to display the item(s) of interest. Bars or numbers with a grey or red background indicate bookings. For detailed booking information, click on the "QTY for Hire" number associated with the item.

Checking Availability for a Package

Click the dropdown arrow located to the right of the Item field.

Select the desired package from the dropdown list. Packages are easily identifiable by a blue 'P' symbol.

Once you have selected a package, the package details will be displayed on the first line in the Availability section. All items included in the package will be listed below this information.

The first line will indicate the number of packages available for hire, based on the day grid method.

Availability Drilldown

The Availability Drilldown page provides a visual representation of item availability over time, including a usage breakdown, total quantity for hire, and quantity available. This feature can be accessed by clicking on the Qty Drilldown column or any Day/Hour column.

Availability Settings

Users can customize their Availability screen preferences by clicking the cog icon next to the Filters button. This allows for adjustments to settings such as Paging Size, Filters, Show Current Location, Show single hire items 'out' as numbers, and Bar Z-Order to better suit individual needs.

Availability Filters

Filter your results by Branch, Item Category, Item Description, Item Type, and Item Sub-Category. To modify options, press the Filters button, and to clear filters, simply click the X button.

Display Options

Users can choose between Qty In / Qty Out to view available or booked quantities. The Itemised/Grouped option allows for grouping identical items together. Additionally, including Quotes on the availability screen can help manage reservations effectively.
