Default Branches and User Branch Restrictions
Staff members can have a default branch, and login users can be restricted to their associated staff member’s branch or state.
A default branch helps prefill branch fields. A user restriction controls which branch records the user can access. These are related settings, but they do not perform the same function.
Set a staff member’s default branch
Go to Setup > Staff.
Open the staff member.
Select the appropriate Default Branch.
Save the changes.
The staff default branch can be used to prefill new invoices, purchase orders, payments, reminders and other branch fields. It may take precedence over the global default branch.
Users should still confirm the branch before saving a transaction.
Link the login user to the staff record
HirePOS associates a login user with a staff record by matching their email addresses.
Before restricting a user:
Confirm that the login user has a corresponding staff record.
Confirm that both records use the same email address.
Confirm that the staff record has the correct default branch.
A No matching email warning in the user setup indicates that HirePOS cannot match the user to a staff record.
Restrict a user to their default branch or state
You must be an Administrator to change user permissions.
Go to Setup > Preferences > Users.
Open the user.
Expand Permissions.
Enable Restrict to default branch/state only.
Save the changes.
Ask the user to log out and back in.
The user’s staff record determines the default branch and its state.
Depending on the configured restriction, the user may be limited to:
Their staff default branch, or
Branches located in the same state as their staff default branch
The restriction also removes or limits free branch selection on applicable screens.
Important visibility warning
A restricted user may not be able to see:
Records assigned to another branch
Records that have not been assigned to a branch
Complete business-wide results in some lists and reports
Use an unrestricted Administrator account when checking a new branch setup, finding unassigned records or reconciling information across the whole business.
Configure staff defaults and complete the initial branch allocation before applying user restrictions.
