HirePOS offers the convenience of connecting your Microsoft account to your HirePOS user account, enabling you to leverage Microsoft identity platform features like passwordless sign-in and Multi-Factor Authentication (MFA). This guide will walk you through the process of setting up and managing the connection between your Microsoft and HirePOS accounts.

Setting Up a New HirePOS User Account

When creating a new HirePOS user account, you must initially use a HirePOS username and password. Once the account is set up, you can proceed to link your Microsoft user account to your HirePOS account. After this connection is established, you will need to sign in using your Microsoft account, and the Single Sign-On method will be enforced, rendering your HirePOS username and password obsolete.

Connecting an Existing HirePOS Account with Microsoft

If you already have a HirePOS account and wish to link it with your Microsoft account, follow these steps:

  1. Ensure your Microsoft account has the same user principal name (email address) as your HirePOS user account.

  2. If you encounter a 'Login Failed' page, follow the steps below:

Confirmation Process

Upon encountering the 'Login Failed' page, a notification email will be sent to your primary business email, confirming the sign-in attempt. To proceed:

  • Go to Setup > Preferences > Users in HirePOS.

  • Locate the user under the 'Unconfirmed' status in the SSO column.

  • Edit the user profile and confirm the user's attempt to log in with their Microsoft account.

  • Check the 'Confirm user and allow access?' box if the sign-in is expected.

  • Verify Roles and Permissions, then save changes.

Successful Connection

Once the connection is confirmed, the user can log in using their Microsoft account. The SSO column will display 'Enforced,' indicating that Microsoft sign-in is mandatory going forward.

Handling Different Scenarios

Microsoft Account Not Connected to HirePOS

If you try to sign in with a Microsoft account that is not linked to a HirePOS account, you will encounter a 'Login Failed' page. To rectify this, sign out of your Microsoft account and retry with the correct account.

Inactive HirePOS Account

If your HirePOS account is inactive and you attempt to sign in with your Microsoft account, you will see a 'User Inactive' page. To resolve this, sign out of your Microsoft account and retry the sign-in process.
