This document provides a step-by-step guide for creating pending inspections from invoices for machines in the field.

Create a Pending Inspection from an Invoice

When conducting equipment inspections in the field, use the "Delivery/Pickup Details" section of the invoice screen to inform technicians if the item location. Follow the steps below to create pending inspections linked to invoices:

  1. In the Invoice screen, ensure that the Delivery/Pickup address details are entered.

  2. Click on the Maintenance & Inspections tab within the Invoice screen to view any existing inspections linked to the invoice.

  3. Click the "+ New Inspection" button to open the new inspection screen.

  4. Choose an item from the Item dropdown list (only items from the invoice are listed).

  5. The Inspection Type will default to "Scheduled Inspection." Click the "Continue" button.

  6. In the Recent Inspections section, check for pending inspections to avoid duplication. Then, click the "Continue new inspection..." button.

  7. In the Details section, customer and job site address details will be displayed. The address is clickable to launch Google Maps, and the phone number is clickable for click-to-call functionality.

  8. Ensure the Start Date is set to the desired date and time (defaults to the current date and time).

  9. Enter the Inspection Reason.

  10. Select the preferred Service Technician for the inspection task.

  11. Choose the relevant Inspection Template (defaults to the Scheduled Inspection Template set up in the Item setup details > Maintenance tab).

  12. Click the "Save New" button to save the inspection.

  13. The job will now appear in the pending inspections for both tablet and mobile devices for the service technician.

  14. The technican can complete the job using the inspection checklist section of HirePOS.
