In HirePOS, setting up SMS templates allows you to efficiently communicate with your customers through personalized messages. This guide will walk you through the process of creating and sending SMS templates to enhance your customer interactions.

Setting up an SMS Template

To begin setting up an SMS template in HirePOS, you need to have an Administrator role. Follow the steps below:

  1. Navigate to Setup > Preferences > SMS Templates.

  2. If you are working with a new database, the screen may be empty. Otherwise, you will see a list of existing SMS templates.

  3. To create a new SMS template, click on "New SMS Template".

On this page, you will need to provide the following information:

  • Give your template a descriptive name, such as "Quote", "Get Signature", or "Invoice".

  • For this example, let's use "Quote".

  • Add a message, keeping in mind that every 153 characters count as one SMS message.

  • You can use placeholders like {FirstName}, {Type}, {InvoiceNo}, {TotalAmount}, {DateFrom}, {DateTo}, and {QuoteAcceptanceLink} to personalize your message.

  • Ensure to save your template once you have crafted your message.

For instance, your message could look like:
"Hi {FirstName}. Your {Type} #{InvoiceNo} for ${TotalAmount} is available for review/approval. Your estimated dates are {DateFrom} to {DateTo}. View your {Type} at {QuoteAcceptanceLink}".

When you are ready to send an SMS using the template you created, follow these steps:

  • The customer details will be pre-filled, including the Mobile Number (if entered as a mobile number in customer setup).

  • Select the desired template from the dropdown list.

  • Review the message content to ensure accuracy.

  • Click on "Send SMS" to dispatch the message to the specified recipient.
