Failed Emails
This document provides comprehensive guidance on configuring email settings in HirePOS and resolving common issues related to email delivery and spam filtering.
Email Delivery Failures
If you encounter a notification indicating that an email failed to deliver from HirePOS, several reasons could be causing the issue:
The email address was misspelled or does not exist. Solution: Verify the email address and resend the email.
The recipient's email service is experiencing problems. Solution: Contact the recipient to address the issue.
The email was blocked or marked as spam. Solution: Refer to the steps below for resolving spam-related problems.
Solutions to Spam Issues
Cloud-based software often sends emails from a messaging address to enhance security and prevent spam. To address spam filtering concerns, consider the following solutions:
Preview and manually attach documents as a temporary measure.
Configure recommended email settings to minimize the chances of emails being flagged as spam.
Request recipients to whitelist the sender's email address.
Adjust the sender's email address if necessary.
Recommended Email Settings
Adopt these best practices to optimize email delivery:
Set a recognizable display name.
Ensure the From Address is correctly configured.
Specify a Reply-To address for responses.
Consider using BCC for archiving purposes.
Email Content Guidelines
Carefully craft email content to avoid triggering spam filters. Include pertinent information in the subject line and message body to improve deliverability.
Troubleshooting
If email delivery issues persist, review settings in Other Email Templates or SMTP configurations for any errors. Check logs and seek support team assistance if problems continue.
Sender's Email Address
Select the appropriate email address for sending emails and authenticate your domain to prevent spam problems. Follow the steps to establish the default Business Email address and configure the From Address accordingly.
Authenticate Your Domain with SendGrid
If utilizing SendGrid, authenticate your domain to ensure email deliverability. Follow the steps to verify domain authentication and resolve any arising issues.
Set up Your SMTP Server (Advanced)
For advanced users, setting up your SMTP server is feasible but not recommended. Ensure accurate SMTP details are entered to avoid email delivery issues and authenticate your domain to prevent spam filtering.
By adhering to these guidelines and troubleshooting steps, you can enhance email delivery efficiency and reduce spam filtering challenges in HirePOS.

Open the affected invoice.
Unlock the invoice if necessary.
Unclick and re-click the "Sent" checkbox at the bottom of the invoice screen (above the 'Comments' section).
Save the Invoice.
