Ensuring that your email addresses are set up correctly and authenticated is essential to avoid spam issues and ensure smooth communication. This document provides a comprehensive guide on setting up and authenticating email addresses in HirePOS.

Email Addresses in HirePOS

When sending emails in HirePOS, you can choose to send from one of the following email addresses:

  • The default hirepos-messaging@hirepos.com

  • Your business email that you have entered in Setup > Business Details

  • Your user login email

  • Another email address of your choice

If you are not sending from the default HirePOS Messaging email, it is crucial to authenticate your domain to prevent spam issues.

Setting Up Your Business Email Address

To set up the default Business Email address:

  1. Go to Setup > Business Details from the main menu.

  2. Enter your business email in the Email field.

  3. Scroll down and click Save Changes.

Selecting Your Default "From" Address

To edit the default From email address for your emails:

  1. Go to Setup > Preferences > Email Templates & Settings.

  2. Click the Edit link next to the From Address field.

Outgoing emails will be sent via the From Address by default. However, when sending individual emails, you can also select the user login email address from the drop-down list in the From field.

Authenticating Your Domain

Authenticating your domain is crucial to prove ownership and avoid spam filters. HirePOS provides the option to send from the default messaging email or your own business email. To authenticate your domain:

  1. Go to Setup > Preferences > Email Templates & Settings.

  2. Click the Edit link next to the From Address.

  3. Input your SMTP details.

Authenticate Your Domain with SendGrid

If you prefer to use SendGrid SMTP Server, follow these steps:

  1. Click Check Authentication to verify your status.

  2. If not authenticated, click Authenticate Your Domain.

  3. Copy and paste the provided DNS records to your tech person for addition.

Setting Up Your SMTP Server (Advanced)

While not recommended, you can use your own SMTP Server for business emails. To set this up:

  1. Enter your SMTP Server details via Setup > Preferences > Email Templates/Settings > SMTP Settings.

  2. Contact your SMTP server manager if you don't know your SMTP details.
