This document outlines the best practices for setting up and managing email settings in HirePOS to ensure successful email delivery and avoid being marked as spam.

Display Name and From Address

When setting up your email templates and settings in HirePOS, it is important to use a recognizable Display Name that your customers can easily identify you by, such as your business name. Avoid using an email address as the Display Name.

Ensure that your From Address is set to hirepos-messaging@hirepos.com. Cloud-based systems send emails from a messaging address like this to control authentication and reputation.

Reply To Address and BCC Address

Set your actual business email address as the Reply To address to receive replies from customers. You can also use the BCC address to archive copies of emails sent out without customers seeing this email address.

Email Content

Pay attention to the content and wording in your email Subject and Message body to avoid triggering spam filters. Include a detailed footer section (email signature) with essential business information.

Troubleshooting and Failed Emails

If you encounter email delivery issues, check for incorrect From addresses in Other Email Templates and remove any remnants of SMTP information in Sender/SMTP Settings. Failed emails may result from misspelled email addresses, recipient email service issues, or being marked as spam.

Solutions to Spam Issues

To prevent emails from being marked as spam, consider sending emails from authenticated domains like hirepos-messaging@hirepos.com or your business email. Whitelist the sender address, change the sender address, or authenticate your domain to avoid spam problems.

Authenticating Your Domain

Authenticate your domain to prove ownership and avoid being blocked by spam filters. HirePOS provides options to send from default messaging email or your business email, requiring domain authentication. Follow the recommended email settings guide for proper setup.

Setting Up SMTP Server

While using your own SMTP server is possible, it is not recommended due to potential deliverability issues. Enter your SMTP details in HirePOS settings if necessary and ensure domain authentication to prevent being flagged as spam.
