In today's fast-paced business environment, efficient delivery management is crucial for ensuring customer satisfaction and operational success. Detrack, a third-party app designed for vehicle tracking and delivery management, offers a comprehensive solution to streamline your delivery processes. This guide will walk you through the steps to integrate Detrack with HirePOS, a powerful point of sale and hire software, to optimize your delivery operations.
Create a New Detrack Account
To get started, visit the Detrack website and click on the "Sign up" link to register for a new account. Once you have completed the sign-up process, you can sign in to your Detrack account via the website or directly at https://app.detrack.com.
Connect HirePOS to Detrack
To link HirePOS with Detrack, follow these steps:
In the Detrack dashboard, navigate to Integrations > API Key.
Click the Regenerate API Key button.
Click the generated API Key to copy the key to the clipboard.
In HirePOS, go to Setup > Preferences > API Integrations, search for and select Detrack, and then click the Detrack tile to navigate to the settings.
Paste the API Key into the designated Detrack API Key field.
Choose the appropriate Detrack Vehicle Name/No. Field that you wish to use to match the Detrack Driver with a HirePOS Supplier (Driver).
Click "Save Changes" to finalise the integration.
Setup Vehicles in Detrack
When exporting Delivery/Pickup jobs to Detrack, it is essential to set up vehicles and link them to corresponding drivers. Follow these steps:
In the Detrack dashboard, go to the Vehicles menu at the top left, and click on Add Vehicle to create a new vehicle entry.
Enter the Detrack ID provided to drivers in the Detrack ID field. This should match the Detrack Vehicle Name/No. Field preference that you nominated when connecting HirePOS to Detrack.
Ensure the Name / Vehicle No. in Detrack matches the Supplier/Driver reference, i.e. the Detrack Vehicle Name/No. Field in HirePOS.
Complete the vehicle setup in Detrack and refer to their documentation for further details.
Driver/Vehicle Allocations
HirePOS allows you to assign deliveries, pickups, and services to specific drivers and vehicles for efficient scheduling. Here's how you can allocate drivers and vehicles:
Driver Allocations
Create or edit a supplier in Setup > Suppliers, check the "Is Driver or Transport Company?" box, and save the record.
In Sales/Hire > Delivery/Pickup Schedule, click on the Vehicle/Driver Allocations button to assign jobs to drivers.
Vehicle Allocations
Create or edit a vehicle item in Setup > Items, mark it as a delivery vehicle, and save the record.
In Sales/Hire > Delivery/Pickup Schedule, switch to 'Vehicles' mode to assign jobs to vehicles.
Export Jobs to Detrack
To export delivery/pickup jobs seamlessly to Detrack:
In HirePOS, navigate to Sales/Hire > Delivery/Pickup Schedule.
Review the jobs and click on the "Post to Detrack" button at the bottom of the page to push the jobs to Detrack.
