Subscribe to your HirePOS Calendar with Google Calendar or Apple Calendar

This document provides a comprehensive guide on how to integrate your HirePOS calendar with Google or Apple Calendar using iCal. By setting up iCal feeds in HirePOS, you can conveniently view your booking data on your preferred calendar application, allowing for easy access and sharing of essential information.

HirePOS offers the functionality to publish aspects of your booking data to an iCal feed, enabling your calendar application to subscribe to this feed. This one-way transmission ensures that changes made within HirePOS are reflected in your calendar application, maintaining data consistency.

To configure your calendar feed, follow these steps:

1. Navigate to Setup > Preferences > Accounting Integration & Other API's > iCal Calendar Feed in HirePOS.

2. Utilize Placeholders to customize the display of summary and description text in Google Calendar.

3. Select the desired information to include in the Title and Description of your calendar entries using placeholders such as Customer Name, Type, Invoice No, Dates, Times, Customer PO, and Reference.

4. Choose between displaying each booking as two separate events or a single event spanning the booking duration.

To subscribe to your HirePOS calendar using Google Calendar, you can follow these steps:

1. Access the Calendar screen in HirePOS v5 or go to Sales > Calendar from the menu.

2. Click the cog icon next to the Filters button and copy the iCal link provided.

3. Open Google Calendar in Google Chrome, paste the iCal link in the URL box, and confirm the addition of the calendar.

4. Google will automatically update your calendar events from HirePOS approximately every 24 hours.

If the automatic method does not work or if you are using a browser other than Google Chrome, you can manually subscribe to your HirePOS calendar by:

1. Accessing Google Calendar and clicking the + icon next to "Other Calendars".

2. Selecting "Subscribe to calendar" and choosing the "From URL" option.

3. Pasting the iCal Link URL from HirePOS and adding the calendar.

If you encounter delays in updates between HirePOS and your calendar application, be aware that some platforms may have a refresh delay of up to 24 hours. To display only Delivery and/or Pickup events, add the parameter &DelPkpOnly=True to your iCal address.
