Introduction

This document provides detailed instructions on managing pre-authorizations and storing customer credit cards in HirePOS. Pre-Auth is a feature commonly used for Bonds, allowing you to authorize a charge for up to 7 days before capturing the charge if needed. Storing customer credit cards securely enables you to re-charge them for ongoing hire charges or for security purposes. Follow the steps outlined below to effectively utilize these features in HirePOS.

Pre-Auth Summary

Pin Payments do not impose fees on pre-authorizations, which remain valid for up to 7 days. Fees are only applicable when the card charge is captured. If you need to charge a Bond immediately for hires exceeding 7 days, you can initiate the Pre-Auth process and capture the pre-authorization promptly. Remember to refund the customer's bond if all hire items are returned in good condition.

Storing Customer Credit Cards

Customer credit cards can be securely stored with Pin Payments in a tokenized PCI Compliant manner. Once stored, card details cannot be retrieved via HirePOS for use elsewhere. Follow the steps below to store a customer card without receiving payment or when receiving a payment:

  1. Go to Sales/Hire > Customer Overview from the menu strip at the top.

  2. Look up or add a customer with a full address and email recorded.

  3. Click the Credit Card button and enter the card details.

  4. Save the card details for future use.

Follow the steps outlined in the Invoice Payment help guide and check the 'Save card for future payment' box in the Card Payment screen.

Destroy a card

After completing a hire, go to Sales/Hire > Customer Overview, locate the customer, click the Credit Card button, and then click the red 'Destroy' button to remove the card token from the system.

Processing a Pre-Auth

To process a pre-authorization in HirePOS, follow these steps:

  1. Create a new sales record from the Sales screen.

  2. Add a bond amount and select Card Payment (Pin Payments).

  3. Review and confirm the customer details.

  4. Click the Bond (Pre-Auth) option and then Pay Now.

Voiding a Pre-Auth

To void a pre-authorization, edit the original sales record, select Card Payment (Pin Payments), and choose the Void/Capture Pre-Auth option. Enter the amount to void and click Void on the relevant pre-auth record.

Capturing a Pre-Auth

To capture a pre-authorization, edit the original sales record, select Card Payment (Pin Payments), choose the Void/Capture Pre-Auth option, enter the amount to capture, and click Capture on the relevant pre-auth record.
