Triumph Accounting Export
In this guide, we will walk you through the steps to activate and configure the Triumph module in HirePOS for seamless integration with Triumph. Follow the detailed instructions below to ensure a smooth setup process.
Activate the Triumph Module
To activate the Triumph module, follow these steps:
From the Main Menu strip at the top, navigate to Setup > Preferences > Accounting Integration & Other API's.
Click on the Accounting Integration menu option.
Change the option to Triumph.
Enter the API URL, Division, and Username fields provided by Triumph. These details are set up once and should not change.
Click on Save Changes to confirm the setup.
Set Up GL Codes
To set up GL Codes in HirePOS, follow these steps:
Go to Setup > Item Related > Item Categories or Item Types from the Main Menu strip.
If an Account Code is set up against an Item Category, it takes priority over the Item Type. You can also set up an Account Code against a specific item, which takes priority over both the Item Type and Item Category.
Click on a record to edit.
Enter a relevant account code in the Account Code field.
Save the changes to confirm the GL Codes setup.
Set Up Tax Codes
To configure Tax Codes, follow these steps:
Access Setup > Tax Codes from the Main Menu strip.
Click on a Tax Code to edit and enter the relevant Triumph Tax Code in the Tax Codes screen.
Typically, G stands for the GST code, and F stands for the FRE code.
Save the changes to confirm the Tax Codes setup.
Set Up Customers
For setting up customers in Triumph, follow these steps:
Customers in Triumph require a Debtor Code, which is equivalent to a HirePOS Customer Code.
You can manually create customer codes or enable HirePOS to assign them automatically.
In Setup > Preferences > Miscellaneous, toggle on the Auto-Increment Customer Code setting.
Adjust the Digits (Leading 0's) dropdown as needed.
Save the changes to confirm the customer setup.
Export Invoices
To export invoices to Triumph, follow these steps:
From the "Home" screen or "Reminders List" screen in HirePOS, click on the Triumph Export option.
The Triumph Export module will open in a new browser window.
Select the relevant date range based on the Invoice Date.
Choose to select all invoices or individually select the ones needed.
Click on the Triumph Transfer button to export the invoices to Triumph.
After a successful export, the exported invoices will be marked with a green background and a tick icon in the Exported column. Errors, if any, will be displayed with a red background.
Ensure that invoices are finalized in HirePOS before exporting them. Triumph allows multiple invoices with the same number, so configure settings to prevent duplicates.
