This document provides a comprehensive step-by-step guide on how to connect HirePOS with Locate2u for GPS tracking and delivery/pickup scheduling. By following the outlined procedures, users can effectively integrate these two platforms to enhance their operational efficiency.
Connecting HirePOS to Locate2u
Locate2u is a third-party provider that offers GPS tracking and delivery/pickup scheduling services. To integrate HirePOS with Locate2u, please follow these steps:
Visit the Locate2u website at https://www.locate2u.com/.
Collect the Client Id and Secret from the Locate2u portal.
In HirePOS, navigate to Setup > Preferences.
Select the Accounting Integration & Other API's option.
Choose the Locate2u (GPS Tracking) option.
Enter the Client Id and Client Secret in the respective fields.
Open the Locate2u portal at https://app.locate2u.com.
Access the Team menu and go to Settings.
Create a new app and copy the Secret key to the Client Secret field in HirePOS.
Copy the Client Id key from Locate2u to the HirePOS Client Id field.
Click Save Changes in HirePOS to finalize the connection.
Your HirePOS is now successfully connected to Locate2u for GPS tracking and scheduling.
Auto-Detect Movement of Assets
To enable the auto-detect feature and receive email notifications if GPS-tracked assets move beyond a specified distance and are not currently on hire in HirePOS, follow these steps:
Go to Setup > Preferences in HirePOS.
Select the Accounting Integration & Other API's option.
Choose Locate2u (GPS Tracking).
Toggle on the Auto-detect movement of assets not 'on hire' option.
Set a Minimum Distance (Metres) threshold for alerts.
The system checks for movements daily in the early hours.
Exporting Delivery/Pickup Schedule Jobs
You can export delivery/pickup schedule jobs from HirePOS to Locate2u as "Stops" for advanced GPS tracking and driver-specific features. To do this, follow these steps:
Use the Sales/Hire > Delivery/Pickup Schedule screen in HirePOS to schedule jobs.
Push the scheduled jobs to Locate2u for further tracking.
Note that updating jobs in HirePOS does not affect Locate2u; re-exporting jobs will show a message if they have already been exported.
Driver Assignment
Drivers should be left "unassigned" in HirePOS, as the role of driver assignment should now be handled in Locate2u, which is intended for this purpose. Use the driver assignment and routing features provided by Locate2u to assign drivers after the jobs have been exported over to Locate2u.
Overview of Job Types
In HirePOS, various job types appear in the Delivery/Pickup Schedule, including:
Upcoming Booking Deliveries
On Hire Invoice Pickups
Purchase Order Pickups from Suppliers
Onsite Service Schedule jobs (e.g., toilet cleans, bin swaps)
General Reminder Deliveries and Pickups
Set filters in the Delivery/Pickup Schedule to export desired jobs and click Transfer To Locate2u to send them to Locate2u for tracking.
