Delivery and Pickup (Setup)
Efficient management of deliveries and pickups is essential for businesses involved in shipping goods or providing services to customers. This guide offers detailed instructions on how to set up and utilize locations, zones, cities, and postcodes to optimize your delivery and pickup processes.
Locations
For businesses that frequently deliver to specific venues, creating Delivery/Pickup Locations can significantly streamline the invoicing process. These locations can be associated with individual customers or designated as global locations for general use.
Setting Up Locations
To create a new location, navigate to Setup > Delivery Pickup > Locations > New Location. Any information entered here will be automatically populated in the Delivery/Pickup details of an invoice when selected on a sales record.
Customer-Specific Locations
You have the option to tie locations to specific customers or maintain them as global for universal use. Customer-specific locations are exclusive to one customer, while global locations can be utilized across multiple customers.
Using Locations
Once a location is created, it can be selected in the Delivery/Pickup Details section of a sales record. Choose the location from the dropdown list, which includes both global and customer-specific options.
Zones
Zones are instrumental in categorizing delivery and pickup areas, allowing for the automation of delivery charges based on geographical regions. You can assign zones to cities, postcodes, and locations for efficient management.
Setting Up Zones
To create a new zone, go to Setup > Delivery/Pickup, click on Zones, and then select New Zone. Enter the zone name (up to 20 characters) and save the new zone.
Cities and Postcodes
Cities and postcodes can be associated with zones to facilitate delivery scheduling and pricing. You can set up new city/postcode locations and assign them to specific zones.
Setting Up Cities and Postcodes
From the main menu, navigate to Setup > Delivery/Pickup, then click on City / Postcode List. Add new city/postcode locations as needed and assign them to zones for delivery and pricing purposes.
Using Cities and Postcodes
Cities and postcodes can be selected in various screens such as Sales, Customers, Invoices, Events, and Projects. They play a crucial role in determining delivery locations and associated charges.
Selling Units for Zones
Establishing selling units for zones allows you to charge delivery fees based on specific geographical areas. Assign selling units to zones and configure delivery charges accordingly.
Delivery Charge Items with Zones
Create delivery charge items to apply specific fees based on zones. Set up new items, define prices for different zones, and use them on invoices to automatically calculate delivery charges.
Using Zones on Invoices
In the Invoice page, select pre-set City/Postcodes or Zones in the Delivery/Pickup Details section. The system will calculate the delivery charges based on the selected zone, thereby streamlining the invoicing process.
By adhering to these guidelines for managing deliveries, pickups, and associated locations, zones, cities, and postcodes, you can enhance the efficiency and accuracy of your business operations.
