Branch Transfers

This document outlines the stock transfer process between branches, detailing possible scenarios and providing step-by-step instructions for executing transfers effectively.

Possible Scenarios for Stock Transfer

When transferring stock from one branch to another, there are three possible scenarios:

  • Transferring a single item to another branch (Quantity For Hire = 1): In this case, the Branch dropdown at the top of the Item details screen will switch from one branch to another.

  • Transferring multiple items to another branch (Quantity For Hire > 1): The quantity of items listed in the 'Branch Quantities' button in the Item details screen will be reduced at the 'from' branch and increased at the 'to' branch.

  • Transferring multiple items with serial number tracking to another branch (Quantity For Hire > 1): The Branch listed in the 'Serial Tracking' button assigned to that Serial Number will switch from one branch to another.

How to Transfer Stock Between Branches

To transfer stock between branches, follow these steps:

  1. From the main menu strip at the top, navigate to Setup > Items.

  2. Click on the Branch Transfers button.

  3. Click the New Branch Transfer button to open the Branch Transfers (Hire) screen.

    Note: The Status will default to Pending. Use Pending for items leaving the branch and mark as Completed when they arrive at the destination branch.

  4. Select the From and To branches.

  5. Enter the date the items were dispatched and left the From branch.

  6. Enter the date the items were received or scheduled to be received at the To branch.

  7. Select the Staff record.

  8. Similar to a Booking/Invoice, select the items via the Code column and enter the Qty if it's a bulk item.

  9. Enter any necessary comments.

  10. Click Save New to complete the record. The quantities at the branches will be adjusted accordingly if the Status is marked as Completed.

Making a Booking at Another Branch

If you are making a booking for an item that isn't currently available at the selected branch, you will receive a notification indicating that there are not enough items at the selected branch.

To resolve this, you will need to use Branch Transfers. You can save the booking despite the warning, then schedule a "Branch Transfer" as outlined above.

Once a Branch Transfer is completed, the item will no longer be available at the original branch and will instead be located at the Booking's branch.

Branch Transfers for Users Without ‘Setup’ Permissions

Users who do not have access to Setup can still manage Branch Transfers by enabling the correct User Permissions. Once enabled, a Branch Transfers button will appear on the main Reminders screen in HirePOS.

How to Enable Branch Transfer Access

An Administrator must configure this access:

  1. Go to Setup > Preferences > Users

  2. Select the user you want to update

  3. Open the Permissions section

Choose the Appropriate Permission

  • Show Branch Receivals
    Enable this if the user only needs to mark incoming branch transfers as received.

  • Branch Transfers
    Enable this if the user needs full access to:

    • Create new branch transfers

    • Dispatch transfers

    • Mark transfers as received
