Payments (Overview)

This guide provides instructions on how to receive payments, record COD payments, handle outstanding payments, process refunds, manage card payments, create payment links, and more.

Receiving Payments in Bulk (Recieve Payments)

Payments can be received from customers directly via the Payment button on the Booking/Invoice screen or across multiple Invoices and Credit Notes via Payments > Receive Payments.

To receive a Payment for a customer with outstanding invoice(s):

  • Navigate to Payments > Receive Payments

  • Select the customer you are receiving the payment for

  • Enter the amount you have received from the customer

  • HirePOS will attempt to apply this to the outstanding records in date order.

  • Check the account, method date and amount applied

  • Save the Payments.

Finding, Editing and Deleting Payments (Find Payments)

If a payment record needs editing or deletion, users can access the Payment History section within the Booking/Invoice screen or navigate to Payments > Find Payments. Follow the prompts to modify or remove payment entries as needed, ensuring accurate financial records within HirePOS.

Payments Outstanding

The Payments Outstanding screen provides an overview of all outstanding invoices, grouped by customer age or due date, depending on the view selected.

There are several on-screen filters available to help you narrow the data and collect the information you need.

Overdue Invoice Reminders

The Send Overdue Eeminders tab allows you to email customers with overdue invoice payments in bulk. Select the appropriate email template then click the Email Invoice button to send reminders to the selected
