Payments (Overview)

This guide provides comprehensive instructions on how to receive payments, record cash on delivery (COD) payments, handle outstanding payments, process refunds, manage card payments, create payment links, and more within the HirePOS system.

Receiving Payments in Bulk

Payments can be received from customers directly via the Payment button on the Booking/Invoice screen or across multiple invoices and credit notes through the Payments > Receive Payments option.

Steps to Receive a Payment for a Customer with Outstanding Invoices

  1. Navigate to Payments > Receive Payments.

  2. Select the customer for whom you are receiving the payment.

  3. Enter the amount received from the customer.

  4. HirePOS will attempt to apply this payment to the outstanding records in date order.

  5. Check the account, method, date, and amount applied.

  6. Save the payment.

Finding, Editing, and Deleting Payments

If a payment record requires editing or deletion, users with the necessary permissions can access the Payment History section within the Booking/Invoice screen or navigate to Payments > Find Payments.

Please note that to gain access to payments, general users will require the "Allow Sales/Payments" permission to be enabled and the "Disable Payments" permission to be disabled.

Steps to Find and Edit or Delete a Payment Record

  1. Locate the erroneous payment record either through the Payments > Find Payments screen, or by accessing the invoice it was applied to and reviewing its Payment History.

  2. Once the target payment record is open, click the Options button to Delete Payment or edit the payment as required.

Payments Outstanding

The Payments Outstanding screen provides an overview of all outstanding invoices, grouped by customer age or due date, depending on the selected view. Several on-screen filters are available to help you narrow down the data and collect the information you need.

Overdue Invoice Reminders

The Send Overdue Reminders tab allows you to email customers with overdue invoice payments in bulk. Select the appropriate email template and then click the Email Invoice button to send reminders to the selected customers.
