The Price Table function in HirePOS is an essential tool designed to facilitate dynamic pricing based on various day ranges and calculation types. This document serves as a comprehensive guide to creating and utilising Price Tables for selling units, as well as understanding the implications of different calculation types on sales records.

Creating a New Price Table Selling Unit

To create a new Price Table selling unit, please follow the steps outlined below:

  1. From the main menu strip at the top, navigate to Setup > Item Related > Selling Units.

  2. Click on New Selling Unit at the top of the page.

  3. Enter a Unit Description, for example, DayRate.

  4. Input 24 in the Time Span field.

  5. Select Hour from the Interval dropdown menu.

  6. Click the Save New button located towards the bottom of the page.

  7. Select the newly created DayRate unit from the list to edit it.

  8. From the Options button dropdown at the top right, click on Use Price Table.

  9. In the Item Price Table screen, the Selling Unit will be auto-populated.

  10. Enter numeric values in the Day From and Day To fields, along with a relevant Multiplier.

  11. Select the Calculation Type as either Unit Price or Line Total.

  12. Click the + Add New Line link at the bottom left of the table to add a new row as required.

  13. Once you have completed setting up the price table, click the Save Changes button at the bottom right.

Auto Calculating Prices on a Sales Record

When adding an item to a sales record that utilizes a day rate selling unit and price table, the price will be auto-calculated. It is advisable to enter booking dates prior to adding line items to ensure accurate calculations in the Each and Total columns.

Autocalc Options

The Autocalc popup provides options to recalculate booking or invoice quantities and units based on the hire period. You can choose to:

  • Recalculate prices

  • Recalculate quantities only

  • Disable autocalc entirely

Switching Autocalc On and Off

To toggle Autocalc on or off, open the Autocalc popup by clicking the Autocalc link at the bottom right of the line items grid. Adjust the Autocalc Off/On toggle as needed.

Calculation Type

The Calculation Type column in the Price Table can be set to either Unit Price or Line Total, which affects how the Multiplier column influences the DayRate price on sales records. Examples are provided to illustrate the impact of each calculation type.
