The On-Site Service Scheduling feature in HirePOS is designed to streamline the management of regular and recurring services while an item is on hire. This functionality is particularly beneficial for businesses such as toilet hire companies, bin hire services, and scaffold companies that require consistent service intervals. Whether you need to send personnel or vehicles to a site during an active hire, the On-Site Service Scheduling feature can assist in organizing these tasks efficiently.

On-Site Services can be categorized as either ad-hoc or recurring. Recurring services can be scheduled based on a set interval (e.g., every 14 days) or customized according to specific requirements.

To schedule a single, ad-hoc on-site service, follow these steps:

1. Navigate to the invoice screen.

2. Click the "Item Actions" menu located just above the items on the invoice.

3. Select the "Onsite Service Schedule" option.

4. Set a specific date for the service to take place.

5. Note that services without completed dates will be marked as "Pending" and will be visible on the delivery/pickup schedule.

6. Click "Save" to finalize the scheduling.

To set up recurring services, click on the "Custom Recurrence" button to define the service interval. You can choose from the following recurrence options:

• Weekly

• Monthly

• Annually

The "Repeat" field allows you to specify the frequency of the service and select the day of the week on which it will occur. Recurring services require manual triggering unless automation is enabled in the next step.

To create recurring services, navigate to Maintenance > Onsite Service Schedule and select the "Create Custom Recurrence" tab. Here, you can view services due for the current month or choose to include upcoming services for the next month. Manually select the services you wish to create and click the "Create Service Records" button to generate them.

If you prefer to automate recurring services, access the cog icon at the top right of the screen and toggle between Manual or Automatic mode. By enabling automation, HirePOS will automatically generate these records in the future. It is crucial to ensure that your recurring service settings are accurate to facilitate seamless automation.

All services created, whether one-off or recurring, will be displayed in the Delivery/Pickup schedule. These services are managed similarly to delivery or pickup actions on the screen. Clicking the "Complete" action will mark the service as completed.
