Uploading File Attachments

In HirePOS, you can easily upload and manage attachments for Customers, Items, Invoices, Expenses, and Maintenance Records. This feature allows you to associate files up to 4Mb in size, typically PDF and image files, with relevant records. Here's a comprehensive guide on how to upload, include, and manage attachments within HirePOS.

Uploading Attachments

To upload an attachment:

  • Open the details screen for the specific record type you want to attach the file to, such as the Customer details screen.

  • Locate the attachment button with a paperclip icon at the top right of the screen next to the 'Options' button and click it to access the attachments screen.

  • Click the 'Browse file to upload' button or drag a file from your local drive to the 'Drag file to upload' section on the screen.

  • If successful, the file will be listed in the Attachments screen, and you can download or open it at any time.

Including Attachments in Emails and Printouts

When sending emails or printing sales records, you can include related attachments:

  • From the Booking/Invoice screen, click the Email button to go to the Email screen.

  • In the Email screen, under the Attachments subheading, expand the Related Attachments section to select the attachments you want to include.

  • For previewing or printing sales records, click the Preview button on the Booking/Invoice screen to access the Preview screen. You can view and print related attachments from the attachments list.

Delivery/Pickup Schedule Attachments

After uploading an attachment, you can make it visible on the Delivery/Pickup schedule:

  • Open the attachments list for the relevant record.

  • Click the 3 dots on the right-hand side of the item and select Delivery schedule (Visible) to make the attachment visible for drivers.

  • Alternatively, in the Booking/Invoice screen Delivery/Pickup details section, you can include a URL link in the Docket Message field to any website or cloud drive file, which the URL link becomes clickable and can be launched by the driver.

File Size Limits and Alternatives

If your file attachments exceed 4Mb, consider these alternatives:

  • Utilize Cloud Drive services like Google Drive, One Drive, Sharepoint, or Dropbox to upload and share large files. Obtain a shared drive link for the file and paste it into emails or specific fields in HirePOS.

  • For emailing large files separately, use your email application like Outlook 365 or Front. Copy a "Message Link" from the email application and paste it back into HirePOS for reference.

By following these steps, you can efficiently manage attachments in HirePOS, ensuring seamless access to relevant files across different records and processes.
