In business operations, effective inventory management is crucial, especially when dealing with items that have a Quantity For Hire greater than 1. The Serial Tracking feature in the HirePOS system allows for the individual monitoring of bulk items, ensuring accurate inventory control and streamlined processes. This document serves as a comprehensive guide on how to set up and utilize Serial Tracking for bulk items within the HirePOS system.

Add Serial Numbers to a Bulk Item

To add serial numbers to a bulk item, follow these steps:

  1. From the menu strip at the top of the main screen, navigate to Setup > Items.

  2. Search for the item you want to add serial tracking to and click to edit.

  3. In the Basics section on the first tab, click the Serial Tracking button next to the Quantity For Hire field.

  4. Enter serial numbers for each item in the Serial Number 1 column. Ensure the total serial numbers match the Quantity For Hire.

  5. Click Save Changes to confirm.

Utilizing Serial Numbers in Sales Records

Once serial numbers are set up, you can utilize them in various areas such as Booking/Invoices, Sales > Dispatch, and Sales > Returns.

Scanning into an Invoice/Booking

To scan items into an Invoice/Booking:

  1. Add the serialized item to the Booking/Invoice.

  2. Enter the quantity of items to be hired.

  3. Select Serial Tracking from the Options dropdown.

  4. Scan the serial numbers manually or using a barcode scanner.

  5. Complete the process by dispatching the items.

Scanning out via the Dispatch Screen

Items can be scanned out and auto-dispatched by following these steps:

  1. Add a bulk item to an invoice and specify the quantity.

  2. Go to Sales > Dispatch and select the pending Booking or Invoice.

  3. Select the required amount of serial numbers for dispatch.

  4. Complete the dispatch process.

Scanning in Items via the Returns Screen

When returning bulk items from an On Hire Invoice:

  1. Go to Sales > Returns and click the Serial Tracking button.

  2. Select and return a serial number.

  3. Proceed with the returns process.

Scanning Items into Maintenance Records

For maintenance records involving bulk items:

  1. Select a bulk item and specify the Quantity Serviced.

  2. Click the Serial Tracking button and input serial numbers.

  3. Save changes to record maintenance.

Delete/Remove Serial Tracking Numbers

If you need to delete or replace serial tracking numbers:

  1. From the main screen, go to Setup > Items.

  2. Find the item, click to edit, and access the Serial Tracking section.

  3. Clear or replace serial numbers as needed and adjust the Quantity For Hire accordingly.

  4. Click Save Changes to confirm the modifications.
