Data Warehousing

The Data Warehousing feature lets you export selected HirePOS data to a secure Azure Storage location for use with external reporting, business intelligence, and data warehouse solutions.

Azure Storage access must first be provisioned by HirePOS before you can use this feature.

Access Data Warehousing

Navigate to Setup > Preferences > API / Integrations > Data Warehousing.

From here, you can choose which data feeds to export, manually refresh data, and enable automatic nightly exports.

Available Data Feeds

Data Warehousing supports the following data feeds:

  • Sales by Date

  • Hire Item Utilisation

  • Sales by Month Item Summary

Each data feed is exported as a CSV file containing data for a complete calendar month.

Enable Data Warehousing

Turn on Enable Data Warehousing to activate the feature.

You can then use the Enabled switch beside each data feed to choose which data you want to export.

For each enabled data feed, you can:

  • Select Refresh Now to manually generate an export.

  • Turn on Nightly to automatically refresh the export each night.

To manually refresh all enabled data feeds at once, select Refresh All Data Feeds.

Manual Exports

Select Refresh Now beside an enabled data feed to queue a new export.

Once processed, the generated CSV file is uploaded to your configured Azure Storage location.

The Data Warehousing page displays the latest export information for each data feed, including its status, completion time, and number of rows exported.

Export statuses include:

  • Not run – No export has been run yet.

  • Queued – The export is waiting to be processed.

  • Processing – The export is currently being generated.

  • Completed – The export completed successfully.

  • Failed – The export could not be completed.

Nightly Exports

Turn on Nightly for any enabled data feed that you want HirePOS to refresh automatically.

Nightly processing runs after 12:05am Queensland time and refreshes two complete calendar months:

  • The current month

  • The previous month

Refreshing both months ensures recent data remains up to date while preserving a complete export of the previous calendar month.

Each eligible monthly export is processed once per day.

CSV Date Ranges

Each CSV represents a complete calendar month.

The reporting period starts at 12:00am on the first day of the month and includes data through 11:59:59pm on the final day of the month.

For example, a September export contains data from the beginning of 1 September through to the end of 30 September.

Azure Storage Structure

Exports are organised by your HirePOS customer code, data feed, and calendar month.

For example:

The YYYY-MM portion identifies the calendar month represented by the file.

For example:

Sales_by_Date_2026-09.csv

Refreshing Existing Files

There is only one CSV file for each data feed and calendar month.

When the same month is refreshed, HirePOS replaces the existing CSV file rather than creating a duplicate.

This means integrations can continue using the same predictable file name while receiving the latest available data.

Disable an Export

To stop exporting a particular data feed, turn off its Enabled switch.

To keep a data feed available for manual exports but stop automatic updates, leave Enabled on and turn off Nightly.

You can also turn off Enable Data Warehousing to disable Data Warehousing controls for your account.

Troubleshooting

If an export fails, its status changes to Failed. Other queued exports can continue to be processed.

If Data Warehousing is unavailable or you require Azure Storage access to be provisioned, contact HirePOS Support.
