Data Exports, Data Warehousing and Bulk Data Access

HirePOS provides several options for customers who need to extract data for reporting, business intelligence, analytics, AI platforms, data warehouses, or integration with other business systems.

The appropriate method depends on the amount of data required, how frequently it needs to be delivered, and the security and governance requirements of the receiving organisation.

Many areas of HirePOS provide standard CSV export functionality for common operational data.

CSV files can also be exported from HirePOS reports, allowing customers to produce datasets based on the filters, date ranges, branches, categories, and other criteria available within the relevant report.

For many reporting and analysis requirements, these built-in exports provide the simplest method of obtaining HirePOS data.

Where the standard exports or reports do not provide the required dataset, custom CSV exports can also be developed.

A custom export may combine selected HirePOS fields, apply specific business rules, or provide a dataset formatted for a customer's reporting, analytics, or downstream processing requirements.

Customers should contact HirePOS to discuss the required fields, frequency, format, and intended destination.

The HirePOS API is primarily designed as a transactional integration API.

For example, an integration may use the API to create a customer, create or update a transaction, or perform another specific business operation within HirePOS.

GET requests may also be made available to assist with data discovery and integration development. These requests generally return a small sample of records so that platforms such as Zapier, developers, and other authorised systems can understand the JSON structure and configure their integrations.

The API is not designed as a bulk data extraction or data warehousing interface. GET endpoints are therefore not intended to provide unrestricted paging through large volumes of HirePOS data or to continuously replicate the HirePOS database into another system.

For customers requiring larger datasets or regular feeds into a data warehouse, business intelligence platform, AI environment, or enterprise analytics system, HirePOS can provide purpose-built data delivery options.

Rather than requiring an external system to repeatedly query the transactional HirePOS API, data can be prepared by HirePOS and securely delivered to an approved destination.

Depending on the requirements, this may include:

• scheduled CSV or structured data exports;

• daily or other agreed data-feed schedules;

• files prepared specifically for the customer's required datasets;

• secure cloud storage or other approved delivery destinations;

• separation of customer datasets and appropriate access controls; and

• controlled access designed around the customer's security and data-governance requirements.

This approach is generally more appropriate for large-scale analytics because it separates transactional integration activity from bulk analytical data movement.

It can also provide clearer controls around what information is exported, where it is delivered, who is authorised to access it, and how frequently the dataset is refreshed.

Bulk data access should be implemented according to the sensitivity of the information and the requirements of both the customer and HirePOS.

Where automated data feeds are required, HirePOS will work with the customer to determine an appropriate delivery method and authorised destination.

This may include controls such as authenticated access, restricted storage locations, customer-specific data separation, and other appropriate cloud security controls.

Providing a defined data feed also helps ensure that analytical, AI, and data warehousing workloads do not require broad or continuous access to the transactional HirePOS API.
