Zapier Create Website Booking

The Create Website Booking action in Zapier allows you to automatically create a new Online Store order in HirePOS using information from another application.

For example, you can use this action to create a HirePOS Online Store order from a website form, CRM, booking system, or another app connected to Zapier.

How It Works

When the Create Website Booking action runs, the booking information mapped in your Zap is sent to the HirePOS WebsiteBookings API endpoint in JSON format.

The newly created order then appears on the Online Store Orders page in the HirePOS v5 web app, where it can be reviewed and accepted or declined, just like an order submitted directly through the HirePOS Online Store.

When the order is accepted, HirePOS creates the corresponding booking record.

Booking and Invoice Dates

The Booking Date provided by the Zap is used as the Date Booked value in the Other tab of the booking record after the Online Store order is accepted.

The booking record's Invoice Date is set to the date and time at which the Online Store order was accepted, in UTC.

Using the Current Date and Time

If you want to populate a field with the current date and time when the Zap runs, you can use Zapier's {{zap_meta_human_now}} value.

Available Fields

The following fields can be populated when configuring the Create Website Booking action:

Booking Details

  • Booking Date – Date associated with the creation of the booking.

  • Booked From / Booked To – Start and end dates or times for the booking period.

  • Event Date – Date of the event associated with the booking.

  • Reference – Reference information associated with the booking.

  • Invoice Category – Invoice category to associate with the booking.

  • Invoice Message – Message or additional information to include on the invoice.

  • Branch Code – HirePOS branch code associated with the booking.

Customer Details

  • Company – Customer or business name.

  • First Name / Last Name – Customer's first and last name.

  • Address Line 1 / Address Line 2 – Customer's street address.

  • City – Customer's city or suburb.

  • State – Customer's state, province, or region.

  • Postcode – Customer's postcode or ZIP code.

  • Country – Customer's country.

  • Phone 1 / Phone 2 / Phone 3 – Customer contact phone numbers.

  • Fax – Customer fax number.

  • Email – Customer email address.

Delivery and Pickup Details

  • Delivery Address Line 1 / Delivery Address Line 2 – Address where the booking is to be delivered.

  • Delivery City – Delivery city or suburb.

  • Delivery State – Delivery state, province, or region.

  • Delivery Postcode – Delivery postcode or ZIP code.

  • Delivery Contact Name – Name of the contact person for the delivery.

  • Delivery Phone 1 – Contact phone number for the delivery.

  • Delivery Required – Indicates whether delivery is required for the booking.

  • Pickup Required – Indicates whether pickup is required for the booking.

  • Delivery Docket Message – Message or instructions to include on the delivery docket.

Example Uses

You can use the Create Website Booking action to automate workflows such as:

  • Creating a HirePOS Online Store order from a website booking or enquiry form.

  • Sending booking information from another booking platform into HirePOS.

  • Creating Online Store orders from customer or event information stored in a CRM.

  • Automating the transfer of booking, customer, delivery, and pickup information from another application into HirePOS.

When configuring your Zap, map the information from the previous Zapier step to the corresponding HirePOS fields. When the Zap runs successfully, the new order will appear in Online Store Orders in HirePOS, ready to be accepted or declined.
