Item/Group Allocations

The Item/Group Allocations screen provides a quick way to view hire items and allocate them to Item Groups by entering or changing their Group Code. Item Groups allow similar, interchangeable items to be grouped together.

Note: Assigning Group Codes from this screen does not update common fields across the related items.

Accessing Item/Group Allocations

To access the Item/Group Allocations screen:

  1. Go to Setup > Items.

  2. Click the Options dropdown.

  3. Select Item/Group Allocations.

Viewing Item Allocations

The allocations table displays the following information for each applicable hire item:

  • Type

  • Category

  • Group Code

  • Item Code

  • Description

  • Serial Number

The Group Code column can be edited directly from the table, allowing you to manage group allocations without opening each individual item.

Filtering Items by Category

Use the Item Category field at the top of the screen to narrow the list to items belonging to a particular category.

  1. Click the Item Category field or dropdown button.

  2. Search for and select the required category.

  3. The item list will automatically refresh to show items within that category.

  4. To display all applicable items again, click the X button beside the category field to clear the filter.

Allocating an Item to a Group

To assign or change an item's Group Code:

  1. Locate the required item in the table.

  2. Click its Group Code cell.

  3. Enter the required Group Code.

  4. Click outside the cell to save the change.

When the allocation is successfully saved, a Saved OK confirmation is displayed. If the Group Code is invalid, an warning message is displayed and the previous Group Code is restored.

You can also use the Up and Down Arrow keys while editing to quickly move between Group Code cells.

Removing an Item from a Group

To remove an existing group allocation:

  1. Locate the item in the table.

  2. Clear the value from its Group Code cell.

  3. Click outside the cell to save the change.

A Group Code removed confirmation is displayed when the allocation has been successfully removed.

Navigating Multiple Pages

When there are more than 100 applicable items, the results are split across multiple pages.

Use the Page dropdown to select a specific page, or use Start, Prev, Next, and End to navigate through the item list.
