Returning Items to a Different Branch
Overview
HirePOS expects hire items to be returned to the same branch they were dispatched from or placed on hire from.
If an item is returned to a different branch, process the item return as normal, then create a completed Branch Transfer to move the stock to the correct branch.
When to use this workflow
Use this process when:
An item was hired from one branch but returned to another branch
A customer picked up from Branch A and returned to Branch B
Branches are close together and stock may move between locations
Transport arrangements mean equipment is returned to a different depot
Example
An item is dispatched from Branch A.
The customer returns the item to Branch B.
When the item is returned in HirePOS, the system increases availability at Branch A, because that is the original dispatch branch.
To show the item as available at Branch B, create a completed Branch Transfer from Branch A to Branch B.
Steps
Process the item return as normal.
Go to Setup > Item Related > Branch Transfers.
Create a new Branch Transfer.
Set From Branch to the original dispatch branch.
Set To Branch to the branch where the item was physically returned.
Set the transfer date and time to the estimated or actual return date and time.
Save the Branch Transfer as Completed.
Result
The return places the item back into the original branch.
The completed Branch Transfer moves the item to the branch where it was actually returned.
Together, these records make the item available at the correct branch.
Important notes
The return and branch transfer can be done in either order.
The Branch Transfer must be completed to affect stock availability.
Post-hire inspections, cleaning, servicing, or maintenance should be recorded at the branch where the item is physically located.
