Each user login account is associated with a unique email address and password. This account can be transferred from one staff member to another, provided certain conditions are met. It is crucial to ensure that the email address linked to the user login account is accessible for password resets and notifications. Additionally, the same email address should not be reused across multiple staff records to prevent complications.

Steps to Transfer User Login Account

To transfer the user login account from Donna (Staff Member A) to Sharon (Staff Member B), please follow these steps:

  1. Edit the staff account record for Staff Member A by navigating to Setup > Staff > Staff Member. Remove the email address from the email field and save the changes.

  2. If necessary, make Staff Member A's staff record inactive.

  3. Allocate the login user email address to Staff Member B's staff account.

  4. Ensure that no other staff account has the login user email address allocated, as this will block any future linking. Be sure to check the Inactive Staff tab as well.

  5. Update the First Name and Last Name fields of the user login account by navigating to Setup > Preferences > Users List > Login User to match the newly linked staff record.
