How to quickly allocate drivers to delivery/pickup/service jobs

  1. To allocate a driver to a job, the driver needs to be set up via Setup > Suppliers.  Edit an existing supplier or create a new supplier.  In the Other tab, check the box Is Driver or Transport Company?, and save the supplier record.
  2. Go to Sales/Hire > Delivery/Pickup Schedule, and click the Vehicle/Driver Allocations button.
    The next screen will default to 'Drivers' mode, and any delivery/pickup/service jobs within the given date range and criteria will be displayed.  The date range defaults to the current day.
  3. The initials of each driver are displayed in columns.  You can hover over the initials to see a tooltip displaying the drivers full name.
    Click the + plus cell in the columns to assign the jobs to the drivers.  The columns are mutually exclusive so you can only assign one driver to any one job.
    The total number of jobs for the drivers are tallied up at the bottom of the grid.

How to quickly allocate vehicles to delivery/pickup/service jobs

  1. To allocate a vehicle to a job, the vehicle needs to be set up as an item via Setup > Items.  
    Edit an existing item or create a new item.  It's best to set up vehicles as a whole new Item Type called Vehicles so that you can separate them from all the other items in the system.  The vehicle registration number can be used for the item Code if you don't use any particular asset number to identify the vehicle by.
  2. In the 'Other' tab, check the 'Is Delivery Vehicle' box.  Then save the item record.
  3. Go to Sales/Hire > Delivery/Pickup Schedule, and click the Vehicle/Driver Allocations button.
    The next screen will default to Drivers mode, so you need to click on the 'Vehicles' button to switch to vehicles mode.  The Code for each vehicle will be displayed in columns to the right.  You can hover over the code to see a tooltip displaying the full vehicle description.
  4. Click the + plus cell in the columns to assign the jobs to vehicles.  The columns are mutually exclusive so you can only assign one vehicle to any one job.  The total number of jobs for the vehicles are tallied up at the bottom of the grid, and the driver initials are displayed to the right of the truck icon if you have also assigned a driver.
