How to set up connection to MYOB Accountright 

  1. From the main menu strip at the top, go to Setup > Preferences > Accounting/API’s.
  2. Select MYOB AccountRight from the Accounting Software options.
  3. Scroll down to bottom of page then click Save Changes.

Matching Chart Of Accounts codes

Account codes are exported to the MYOB invoice lines based on the Account Code for the line item that is set up against the Invoice Category, Item Category or Item Type in HirePOS.  Codes are looked up in that order.

To set up Chart Of Accounts codes at the Invoice Category level

  • From the main menu strip at the top, go to Setup > Invoice Categories.
    Note the "Account Code" column is shown in the list.
  • Click an Invoice Category to edit.
  • Enter the relevant MYOB Chart Of Accounts code in the "Account Code" field.
  • Click the "Save Changes" button.

To set up Chart Of Accounts codes at the Item Category level

  • From the main menu strip at the top, go to Setup > Item Related > Item Categories.
    Note the "Account Code" column is shown in the list.
  • Click an Item Category to edit.
  • Enter the relevant MYOB Chart Of Accounts code in the "Account Code" field.
  • Click the "Save Changes" button.

To set up Chart Of Accounts codes at the Item Type level

  • From the main menu strip at the top, go to Setup > Item Related > Item Types.
    Note the "Account Code" column is shown in the list.
  • Click an Item Type to edit.
  • Enter the relevant MYOB Chart Of Accounts code in the "Account Code" field.
  • Click the "Save Changes" button.

Matching Customer Codes

MYOB AccountRight identifies the customer by the "Card ID" field in the MYOB customer card information.  You must have a matching "Customer Code" in HirePOS that matches the "Card ID" in MYOB in order to export invoices to MYOB.

Tip: In HirePOS, you can set the custome codes to auto-increment and use leading zero's via Setup > Preferences > Misc.

How to export invoices & payments to MYOB AccountRight

  1. Click the MYOB button on the main screen in HirePOS.
  2. A second browser tab will open, Sign in to MYOB.
  3. Enter your MYOB credentials and sign in. 
  4. You are redirected to the HirePOS Export module with a list of company files to access.
  5. Select your MYOB company file.  The MYOB Export page will open.
  6. Date range will default to current month.  Change date range to view preferred range to export if required.
  7. Check all invoices or choose specific invoices as required.
  8. Click the "Sync With MYOB" button to send the invoices to MYOB.
  9. Follow the same process for payments on the "Payments" tab.
  10. Log out of the session by clicking your username at the top right of the MYOB Export page.

Reposting Invoice & Payments

You cannot update an invoice or payment that is already posted, however you can remove the invoice or payment from MYOB, and then re-post it from HirePOS.  To flag a record as not synced, you can check a record then click the "Mark As Pending" button.  This will remove it's synced status and the record can then be re-synced back over to MYOB.   The "Options" tab includes a setting to show or hide synced records.
